Candidate Profile This role requires someone who can work unsupervised, delivering high quality, accurate and effective secretarial support. Inter-personal skills will be polished. Summary of Duties Secretarial Co-ordinate activities, appointments and meeting schedules for the senior management team Update networking schedule weekly Filter all communications (phone, fax, post) for senior management team. To produce quality and timely reports, correspondence, presentations, information to agreed standards and deadlines, in liaison with PA*Proposals team Organise Project Leaders*Financial Managers Forums and prepare presentation Provide effective cover and assume the role of PA in any periods of absence as and when required Attend secretarial and divisional quarterly meetings If available, cover Site Secretaries sickness & holidays Assist with Divisional PA at marketing events from time to time, sometimes outside normal office hours Order stationery supplies Deal with incoming and outgoing post Filing of correspondence Live Projects Log and monitor staff expenses, petty cash and cheque requests, in order for fast effective processing Update site phone and fax sheet and issue Management of Monthly Project Reviews Update PPP and issue weekly Chase and collate Billings monthly Maintain an awareness of past and present projects, contacts, clients Staff Organise Introduction Itineraries for new staff Input absence forms onto ASR*holiday chart and chase sickness forms Maintain list of freelance*contractors and email to HR monthly Monitor staff location changes and notify reception Maintain email groups on Lotus Notes Maintain register and reallocation of IT equipment Relationships It will be an integral part of the job to forge relationships with: • Divisional Directors, PA and Administrator • Project Managers and project teams • Site secretaries Skills and Personal Attributes This person must have: • Word*Excel*Power Point*Lotus Notes • Ability to work on own initiative • Good organisational and time management skills • Ability to communicate positively and effectively • Confident, professional telephone manner • Attention to detail and accuracy • Flexible, motivated, adaptable and team player • A willingness to learn new skills, responsibilities and roles • Ability to handle confidential matters in an appropriate manner
